For people living with severe illness in the New York City metropolitan area, God’s Love We Deliver provides nutrition therapy, and cooks and home delivers medically tailored meals. We are a non-sectarian organization. All of our services are provided free to clients and full of love.

About the Role

The Executive & Project Assistant will provide full administrative and operational support to the President & CEO while managing a variety of executive projects. Administrative and operational support to the President & CEO includes: maintaining her calendar; scheduling meetings and travel; transcribing and writing minutes; preparing presentations, speeches and briefing materials; and other administrative and support duties as necessary.

The Executive & Project Assistant also supports the Executive Team and the Policy & Planning Department on specific projects, leading or participating in projects that may include research and analysis to inform program planning and increase agency visibility, and support on issues related to critical and chronic illnesses, hunger, and nutrition.

On behalf of the Executive Team (President & CEO, COO, CFO, CHRO, and VP/Chief Development Officer), the Executive & Project Assistant will serve as liaison with staff, Board members, Trustees, volunteers and other community stakeholders. The Executive & Project Assistant will be responsible for setting meetings of and developing materials for Board of Directors and Board of Trustee meetings, staffing the meetings, and following up with individual members as appropriate.

Position Objectives and Expectations

Provide Executive, Administrative and Operational Support to the President & CEO

  • Prepare, write and/or coordinate materials, notes, email drafts, handouts, weekly message to staff, speeches and top notch presentations needed for President & CEO’s internal and external meetings, events, and communications
  • Lead social media efforts for the President & CEO, and for the CEO’s office
  • Manage logistics, agendas, briefing materials and follow-up for internal and external meetings
  • Coordinate with Executive Team members and other departments to collect and synthesize information for internal and external audiences
  • Manage and maintain President & CEO’s calendar including scheduling and re-booking meetings and planning time to complete high priority tasks
  • Coordinate Executive Team meetings (weekly), Board meetings (quarterly), Trustee meetings (quarterly), including preparing the Agenda in advance of meetings, writing the minutes, staffing the meetings, and managing follow-up items as appropriate

Manage Executive Projects

  • Support and manage ad hoc tasks and projects to support the Executive Team, Board of Directors and Board of Trustees
  • Support and manage tasks and projects related to internal meetings including monthly Managers’ Meetings and All-Staff Meetings
  • Understand the healthcare and nutrition landscape and prepare materials, presentations and speeches
  • Assist the CEO in moving our Strategic Directions forward, advancing projects related to healthcare, advocacy and policy, as well as organizational infrastructure
  • Coordinate with Development staff on major donor initiatives that involve the President & CEO
  • Collaborate with the CEO and the Policy & Planning Department on projects that advance public healthcare policies that support the work of the agency

About You:

You are highly self-motivated, and able to take direction and feedback to produce quality results. You are extremely organized and pick up on details that other people tend to miss. You have excellent communication skills, and can communicate succinctly and clearly in both oral and written communications. You are social media savvy and know how to use social platforms to advance a mission.  You are self-motivated and eager to research and learn. You are incredibly trustworthy and discreet when it comes to handling confidential information.  You are energized by working collegially and collaboratively as part of a team, with staff, Board members and Trustees, and you’re always ready to assist your colleagues to help projects cross the finish line.

In addition, you meet the following requirements:

  • A Bachelor’s Degree
  • Minimum three (3) years of experience in an administrative and/or project management role, ideally with a minimum of one (1) year of experience supporting an executive level position
  • Experience in Nutrition, Healthcare, Social Services is preferred
  • High-level proficiency with Microsoft Office programs and comfort with data analysis and reporting.
  • Demonstrated ability to prioritize time and tasks, keep organized and meet deadlines in a fast-paced work environment
  • Excellent judgment, including the ability to maintain discretion regarding sensitive information
  • Strong written and oral communications skills, including writing and editing skills across a range of mediums and topics
  • Strong social media skills
  • Demonstrated project management skills
