About Us

God’s Love We Deliver, a nonsectarian organization, is the New York metropolitan area’s leading provider of life-sustaining meals and nutrition counseling for people living with severe illnesses. Begun as an HIV/AIDS service organization, today God’s Love provides for people living with more than 200 individual diagnoses. God’s Love cooks and home delivers the specific, nutritious meals a client’s severe illness and treatment so urgently require. Meals are individually tailored for each client by one of our Registered Dietitian Nutritionists, and clients have access to unlimited nutrition counseling. God’s Love supports families by providing meals for the children and senior caregivers of our clients. All of our services are provided free of charge to clients.

About the Role:

The Events Associate leads the execution of partner events, non-signature special events, and internal cultivation events including Legacy Society events, Young Hearts events, and Culinary Council events.  The Events Associate supports event leadership on all other events as needed. Responsibilities include budgeting, creative, catering, and event attendance tracking, marketing, and coordination of vendors.

  • This is a hybrid position allowing for some remote work and requiring regular in-office workdays.  
  • This is a Full-Time exempt position, paying $63,000 – $68,000 annually.

Essential Duties and Responsibilities:

  • Lead the production of all partnered events and internal cultivation events including Legacy Society, leadership, Culinary Council, volunteer party events, and new partner events.
  • Support production and scheduling for Miami donor events, including creating ROS, catering, florals, guest list, hotels, etc.
  • Responsible for NXT event management for all events including creating RSVP links, uploading invitation designs, email reminders and thank you notes.
  • Work with freelance designers on event creatives including emails, design, social, print and digital collateral.
  • Work in collaboration with the Philanthropy Department and MarComms on producing Legacy Society, Culinary Council, and other donor events.
  • Support events leadership team on other events such as signature events and other events as needed.
  • Facilitate the execution of all non-signature fundraising events and projects including but not limited to partnered events (e.g., Douglas Elliman Ride for Love), Cultivation Events (e.g., Culinary Council, Legacy Society, genLOVE, Leadership dinners) and God’s Love internal celebration events (e.g., World AIDS Day, Heritage Months, Staff Holiday Party, Volunteer Party).
  • Track event donor pledges including follow up to ensure timely receipt.
  • Coordinate and create events in Blackbaud NXT. Creates/updates event participant records for attendance, registration, etc. Run event income and expense reports.
  • Update agency website to support event ticket sales, and holiday catalogue set up/sales.
  • Prepare, coordinate, update and monitor departmental tracking spreadsheets for attendance, revenue, and expenses related to all events.  Track sponsorship revenue (a combination of Blackbaud NXT and Classy).
  • Assess and recommend projects to help further the mission of God’s Love We Deliver.
  • Negotiate terms and services for relevant special events contracts.
  • Research, review, and generate recommendations for budgets for special events.
  • Coordinate production and delivery of invitations/mailings including some list management.
  • Manage scheduling and oversight of event volunteers, staff, and temporary/contract event workers.
  • Source product for events. Develop relationships with vendors to secure donated products whenever possible.
  • Attend all events to support the Director and departmental “day of” efforts.
  • Prepare check requests, consultant agreements, billing for customers, in-kind documentation, new vendor forms, and departmental supplies and filing.
  • Support internal departments to meet agency requirements for timely execution of actions supporting our mission.
  • Other duties may be assigned.

About You:

You are a highly-motivated self-starter, creative, organized, resourceful and enthusiastic who also has a love for events.  You are looking for a collaborative, team-oriented environment, and you are energized by seeing all your hard work come to fruition.

In addition, you meet the following requirements:

  • Bachelor’s Degree.
  • At least 2 years of experience in the Special Events field. Experience with food and/or non-profit is a plus.
  • Ability to integrate into teams smoothly and understand requirements quickly.
  • Demonstrate a high level of reliability, organization, and follow-through.
  • Demonstrate strong interpersonal, intercultural, and verbal/written communication skills.
  • Must have the ability to frequently lift and move up to 50 pounds, as well as stand for long periods of time while performing duties for this position.
  • This job requires some work on evenings, weekends, and holidays as necessary.
